Complaint Letters

Normally customers who are unsatisfied with some product or services write a complaint letter. Always try to keep it to the point and it should include required documentation. In order to have a large number of satisfied customers, most of the businesses and organizations try to clear up the complaints as soon as possible. A correctly written letter can be more effective and can help you to achieve your goals. Always address your letter to a specific person. Your letter may not reach the right person when addressed using "Dear Sir" or "To Whom it May Concern". You should write directly to the concerned person like a manager.

While writing a this type of letter try to be honest and straightforward. You should also include sufficient detail to back up your complaint. Your letter should be completed within one page, so always try to write short paragraphs. Try to keep your letter short and simple. Do not include any irrelevant details within your letter.

Simply avoid aggression and try to write your letter in a respectful tone. Always try to realize that the person who will be reading your complaints is also a human being like you with feelings and he/she will be doing their job to best of their ability. So after reading your letter, they should be encouraged to respond positively and helpfully to your complaint.

Always remember that a professionally presented and well-written complaint letter have more credibility and will be taken more seriously. Try to use positive statements within your letter and also suggest positive actions, which will surely encourage the reader to take some action.

Never send any original documents or receipts with your complaint letter. Only attach photocopies and you should keep all originals with you. Also keep a copy of your letter with you for your records.
